This policy explains how we handle your data, whether you’re an event organizer using our platform (web app) or a participant using our website, ticketing system, or mobile app. We’re committed to transparency, security, and compliance with European and international data privacy laws (hello, GDPR!).

1. The Data We Collect

Depending on your profile, we collect different types of data:

• Organizers: We collect your name, email, business address, VAT number, payment details, type of business, organization details, job position, usage of the platform, and event types. This helps us provide the right tools and meet our legal and financial obligations.

• Participants: We collect your name, username, email, age, gender, city and country of residence, payment info, ticket details, event preferences, and app usage data (such as your interactions). This data allows us to recommend events, manage your tickets, and generate anonymized insights. In addition to basic information, we also collect data related to our gamification features, such as points accumulated, badges earned, and specific interactions within the app. This data is collected to make the experience more engaging and personalized.

2. Why We Collect This Data and Legal Basis

We collect your data for these main purposes, in line with GDPR legal bases:

• Helping Organizers Create Great Events: We use organizer data (like job position, event type, business info, and payments) to improve TUKIOO services and stay compliant with anti-money laundering and other regulations. Our legal bases here are contractual necessity and legitimate interest.

• Providing Insights to Organizers: We provide organizers with an overview of their audience using anonymized participant data (age, gender, location, preferences) to help create better event experiences. Legitimate interest is the basis here, and all data is anonymized for your privacy.

• Personalized Recommendations for Participants: We use your preferences, demographic profile, and username to suggest events you might enjoy, making it easier for you to discover new things. This is based on your consent.

• Customer Service: We use your data to assist with ticketing or account questions. Here, our legal basis is contractual necessity.

• Making TUKIOO Better for Everyone: We analyze how organizers and participants interact with TUKIOO to improve the platform. Data is anonymized to optimize the user experience, based on legitimate interest.

• Gamification and User Experience: We use gamification data to personalize participants’ experiences based on their interactions in the app. This includes offering event recommendations and tracking participation levels. The legal basis for this data collection is user consent, which you can adjust at any time in the app’s settings.

Third-Party Services and Tools
To provide, improve, and manage our services, we use trusted third-party platforms:

• HubSpot as a CRM platform to manage user interactions and track marketing activities.

Each of these platforms follows security and privacy standards in line with European and international data protection laws. You can review their privacy policies for further details on their data practices.

3. How Long We Keep Your Data (Retention Period)

We only keep your data for as long as necessary:

• Organizers:

  • Accounting Data: Kept for 7 years to meet tax regulations.
  • Service Data: Stored for 1 to 5 years after the service relationship ends.
  • Consent-Based Data: Retained as long as we have valid consent; deleted once consent is withdrawn or the purpose is no longer relevant.
  • Anonymized Data: Retained indefinitely if anonymized, as it’s no longer personally identifiable.

• Participants:

  • Transaction Data: Kept for 7 years for tax compliance.
  • Event Participation Data: Stored while the account is active and anonymized 1 month after account deletion.
  • Profile and Account Data: Retained for active accounts; anonymized after 1 year of inactivity and deleted 1 month after account deletion.
  • Marketing Data: Retained only with consent, and deleted promptly upon withdrawal.
  • Data collected for gamification features, such as points and rewards, is retained as long as the account is active. Upon account deletion, this data will be deleted within 1 month.

4. Where and How We Secure Your Data

Your data is securely stored on protected servers in the Netherlands (Hostkey), with backups in France and Germany (OVH). We use encryption and other technical safeguards to prevent data leaks or breaches. Payments are processed securely through Stripe, and we never store sensitive payment information.

Data Processing by Third-Party Partners
Some of your data may be processed by external tools, like Google Analytics for analytics, Facebook Pixel and LinkedIn Pixel for marketing, and Firebase for real-time notifications. Additionally, HubSpot, help us manage and improve your experience, as mentioned above.

5. Data Transfers

We work with third-party partners (such as Stripe, Firebase, Google Analytics) to deliver quality service. If you attend events abroad, anonymized data may be shared with organizers outside your country or continent, ensuring your privacy.

We use trusted providers to manage key features:

• Stripe for secure payments.
• Google Analytics for traffic analysis.
• Firebase for real-time notifications.
• Facebook Pixel and LinkedIn Pixel for advertising.
• HubSpot for user interaction tracking and marketing.

Each partner upholds strong data protection standards.

7. Age Restrictions

TUKIOO is designed for users 16 and older. By using our platform, you confirm that you meet the age requirement to consent to data use.

8. Automated Decisions and Profiling

To enhance your experience, we use profiling to suggest events you might enjoy based on your preferences, age, and interests. However, no major decisions affecting your rights are made solely on automated processing.

9. Your Rights Over Your Data

You’re in control! Here’s what you can do:

• Access, Update, or Delete: Request to view, update, or delete your data by contacting us at hello@tukioo.com.
• Withdraw Consent: Opt out of tracking and marketing by adjusting your app/browser settings or contacting us.
• Right to Be Forgotten: Ask us to delete all your data if you decide to leave TUKIOO.
